It's Sunday night. The truck is parked, the kids are in bed, and you're at the kitchen table with a pile of receipts, a phone full of job photos, and three apps open. You're typing the same customer's name and address into the third one.
I've done this. Most of the guys I talk to still do. And nobody ever sat down and decided that's how the business should run. It just built up one tool at a time.
The math on "just a little paperwork"
Ask a one-to-five person crew how much time they spend on admin and you'll hear "an hour a day, maybe." Then walk through the week:
- Typing up quotes: 20-30 minutes each, five a week is 2 hours.
- Re-entering the approved job into a calendar or job app: 10 minutes per job.
- Logging hours and mileage from memory: 1 hour a week, and it's still wrong.
- Sorting receipts and matching them to jobs: 1-2 hours.
- Building invoices from scratch: 15 minutes each, and you do it days later.
- Chasing reviews and unpaid invoices: another hour or two of texting.
That's 8-10 hours a week. Call it 450 hours a year. At even $50 an hour of billable time, that's over $20,000 of your life spent as a data-entry clerk. And that's before counting the mistakes.
The real problem isn't the paperwork. It's the re-typing.
Every job has one set of facts: who the customer is, what you promised, what it cost, who worked on it, what you charged. The problem is that your tools each hold a different slice, and none of them talk to each other. So you are the integration. You are the cable between the quote app and the invoice app and the spreadsheet.
That's why things slip. The materials never get billed. The hours on the invoice don't match the hours on the crew's phone. The review request never goes out because you were too tired by Thursday.
What it looks like when the job carries its own paperwork
When everything lives in one place, you enter the job once. After that it moves on its own:
- The customer finds you or calls, and the lead lands in your CRM + Pipeline automatically, with the missed-call auto-text covering you while you're on a roof.
- You build the quote from your Price Book, so you're not guessing at numbers, and the customer approves it with a Proposal + E-Sign from their phone.
- The approved quote becomes a job in Job Management. No re-typing the address.
- Your crew's GPS Time Tracking and Mileage Tracker record the hours as they happen. Receipts get snapped with the Expense + Receipt Scanner and attached to the job.
- One-Click Invoicing pulls the quote, the hours and the materials into an invoice. The customer pays by card through Stripe.
- Once it's paid, an Auto Review Request goes out. You didn't have to remember.
Nothing in that list requires you to open a spreadsheet. The Sunday-night pile just doesn't get created.
Where the money actually comes back
Getting your evenings back is nice. But the bigger payoff is the money that stops leaking:
- Invoices go out the same day. If you wait four days to invoice, you're waiting four extra days to get paid. Invoicing from the job data takes a minute, not an evening.
- Materials get billed. A $60 box of fittings you forgot to add isn't much once. Twice a month, that's $1,440 a year.
- Your numbers are real. With hours, mileage and receipts attached to the job, Job Costing and Financial Reports show what each job actually made, not what you guess it made.
- Follow-up happens. Auto follow-ups keep sent quotes from going cold while you're on the next job.
A quick test for your own business
Count how many times you enter a customer's name this week. If it's more than once per job, you're doing the work a system should be doing. Then ask: how many hours of admin did I do after dinner last week? If the answer is more than two, that's your sign.
You didn't start a contracting business to do bookkeeping at 10 PM. You started it to do the work, make good money and have a life. Software should take the paperwork off your plate, not add another login to it.
